General Data Protection Regulation (GDPR) privacy policy for Milverton Parish Council’s use and storage of personal data for the purpose of providing updated information about efforts to retain The Globe public house as a publicly owned asset.
Introduction
Milverton Parish Council (‘MPC’) is investigating ways in which it might support community efforts to purchase The Globe public house for the ongoing benefit of the community of Milverton.
An electronic database will be kept of the names and contact details of members of the public who have expressed an interest in this endeavour. MPC is committed to protecting the privacy and security of any personal data retained pursuant to this policy.
This policy explains how the MPC will collect, use, and safeguard personal information in compliance with the General Data Protection Regulations (GDPR) and the Data Protection Act 2018.
Data Controller
MPC is the data controller for the purposes of data protection law and is registered with the Information Commissioner’s Office with the registration number ZC075167.

The following personal data may be collected and retained by MPC:

Purpose of processing the personal data
MPC will collect and use the aforementioned personal data for the following purposes:
To communicate news, updates, and meeting information regarding the parish council’s work to potentially purchase The Globe.
To respond to enquiries about the work being undertaken by MPC.
To communicate about a community wide consultation in the event that the MPC identifies an appropriate approach to bringing The Globe into community ownership.
To seek feedback from members of the community to assess feasibility and community support for any proposals.
The MPC will only process personal data provided in accordance with the above aims in the following scenarios:
Where an individual has provided express consent to the data being stored and used for the purpose of communication from the MPC about efforts being made to purchase The Globe.
When it is in the public interest for there to be wider communication regarding the aims and activities of the MPC on the subject of the prospective Globe purchase.
How data will be stored and protected
The MPC will ensure appropriate measures are taken to provide adequate protection for any data provided:
Secure storage of any paper-based documents which include personal information until that information can be transferred to a digital format.
All digitally stored personal data to be saved to a storage device or internal computer memory which has been encrypted and password protected.
Once transferred into a digital file, any original paper-based collection of personal information shall be destroyed in a manner that retains confidentiality of the documents’ contents.
Data handling practices will be kept under continual review.
The personal data will not be provided to organisations outside of the MPC or the MPC working group considering the purchase of The Globe.
As soon as the data is no longer required, the MPC will arrange for it to be deleted regardless of storage method.
The MPC will not sell or share personal data with third parties for marketing purposes linked to the business of those third parties.
The MPC may share data with trusted service providers (e.g., email distribution platforms, website host organisations etc) only where necessary to fulfil the above aims and ensuring all appropriate safeguards are in place by that trusted third party.
Individual data protection rights
In accordance with their statutory rights, individuals have the right to:
Access their personal data.
Request correction of inaccurate data.
Request deletion of their data.
Be informed of the way in which the data is to be used and of any changes in the way in which the data may be used.
Object to the use of their data in accordance with the scenarios mentioned above.
Lodge a complaint with the Information Commissioner’s Office (ICO) about the MPC’s use or storage of their data.
Future amendments to this policy
The MPC reserves the right to update this policy and will communicate any changes to all those for which data is being held.
